Flipkart payment reconciliation: match orders, settlements and bank credits
A practical audit for Flipkart sellers: connect each payment to its orders, check deductions and returns, and separate timing differences from disputes.
Quick answer
Flipkart payment reconciliation means matching a seller's orders and adjustments to the payment statement, then matching that statement to the bank credit. Start with the payment reference and date, trace the included order IDs, and investigate any unexplained difference before treating it as an error.
A Flipkart order value is not the same thing as the amount that reaches the bank. The useful question is not simply "Was I paid?" but "Which orders and adjustments make up this particular payment?" Flipkart's Seller Hub provides seller payment tools; the labels and available exports can change, so use the payment statement and transaction identifiers shown in your own account as the source of truth.
Gather the records for one payment cycle
Export or save the payment statement for a completed cycle, the underlying order and return records, and the matching bank entry. Keep the payment date, payment or transfer reference, order ID, item or SKU, transaction type, amount, and any fee or adjustment columns. If an export does not include a field, record where you obtained it; do not fill gaps with assumptions.
A Flipkart payment-reconciliation help guide describes using payment date, transfer reference and payment amount when booking a payment. Check the current Seller Hub interface for the equivalent fields in your account rather than relying on a fixed menu path.
Reconcile in three passes
1. Match the payment statement to the bank
Find the bank credit by transfer reference and date. Compare the credited amount with the statement total. A difference is an unresolved variance, not proof of a wrong charge: first check whether the bank entry, cycle boundary or reference belongs to another payment. Keep unmatched credits and statements in a separate queue.
2. Match statement lines to orders and returns
For every line in that payment, connect its order ID or adjustment reference to the original order, return, refund or claim record. Group charges by their actual description in the export. Do not assume that a refund and its original sale appear in the same payment cycle. An unmatched line needs an explanation and evidence, not an automatic dispute.
3. Check deductions against your current terms
Compare each fee or adjustment with the applicable seller agreement, programme rules and the transaction's own attributes. Check item category, shipping or fulfilment method, weight where relevant, and the return status. Rates and eligibility can change; use the terms effective for that order, not a figure copied from an older blog post. A fee estimate can help model a unit, but it cannot replace the account's statement or current terms.
Keep an exception ledger
Record each unresolved item with the payment reference, order or adjustment ID, expected amount, actual amount, difference, evidence link, owner and status. Separate these cases:
- Timing: the transaction is present, but in a different payment cycle.
- Missing link: the statement line or bank credit cannot yet be matched.
- Fee question: the charged amount differs from what the applicable terms appear to require.
- Return or claim question: the adjustment does not match the documented return or case outcome.
These labels are a working triage method, not Flipkart dispute categories. Only escalate a fee or return question after checking the applicable policy and preserving the statement, order record and supporting evidence. A payment that reconciles at the bank level can still contain an order-level issue; conversely, an apparent shortfall may be a timing difference.
A small, repeatable audit
Begin with one completed payment and a manageable sample of its lines. Reconcile the full payment total to the bank, then trace every sampled line back to its order or adjustment. If you find a pattern, expand the check to every affected transaction and the relevant cycles. Keep the original exports unchanged so another person can reproduce the calculation.
If your team needs an independent review of recurring exceptions, keep the ledger and source files ready to hand over. Reconcile each marketplace separately before any cross-marketplace profit comparison.
